az Vesalius: Optimizing hospital processes
About az Vesalius
az Vesalius is a regional hospital in South Limburg, Belgium, with branches in Tongeren and Bilzen. The hospital has a wide range of specialties and provides care to diverse patient groups. In 2017, they received the NIAZ quality label, which stands for expert care, safety and improvement-oriented corporate culture.
Background and challenges
az Vesalius started using LeanForms in early 2023. Since then, significant improvements have already been brought about in their processes. Previously, they were using an American software vendor to digitize a number of business processes, but the support and assistance left much to be desired.
After a number of exploratory talks, the decision was made to start working with LeanForms.
Because of LeanForms’ extensive functionalities, even more paper forms have now been replaced by digital versions, allowing data to be actively monitored.
Solutions offered by LeanForms
With LeanForms, az Vesalius has optimized various processes. They have already digitized many forms, including control processes for technical rooms, temperature measurements and installation checks. The big difference LeanForms has made is evidenced by the positive feedback from employees.
Concrete benefits of LeanForms
Key benefits of LeanForms for az Vesalius are time savings and improved reporting. Previously, some paper forms remained untouched in technical areas, but with LeanForms, data can now be actively monitored and problems can be resolved more quickly.
The ability to facilitate direct communication and address issues has led to improved collaboration and efficiency.
“We receive only positive feedback. Because of this, I also encourage our technicians to come up with ideas on further digitization.”
Powerful features of LeanForms
az Vesalius appreciates the workflows possible with LeanForms. They have applied this feature to work permits and other forms, automating and streamlining complex processes.
Another example is the mileage reimbursement form, which requires multiple employees to sign. LeanForms has simplified this process by providing a structured workflow.
Various applications within az Vesalius
In total, az Vesalius uses about 50 forms. These forms include various uses, including fire permits for outside firms and monthly tests of the emergency power generators. In addition, they use LeanForms for inspection rounds in technical areas and replacement of parts in case of malfunctions of the nurse call system, so a clear log is available here.
Impact on communication
LeanForms not only contributed to process optimization, but also improved communication within az Vesalius. Employees now share more information, made possible in part by the lower threshold for filling out forms compared to manual entry.
Post-implementation support and services
The support and services provided by LeanForms have been perceived very positively by az Vesalius. Quick responses from the help desk and effective solutions to problems have been noted.
Future expansion and continuation
az Vesalius plans to expand the use of LeanForms both within the current department and beyond. They see the potential to digitize and optimize more processes using LeanForms.
With a focus on time savings, efficiency and improved communication, LeanForms continues to be a valuable addition to az Vesalius’ operations.
“LeanForms has helped us significantly, and we are actively exploring where we can make further expansions, both within and outside our department.”
