LeanForms at IQIP: From paper to precision

An in-depth look at equipment management, error elimination and document quality

IQIP is a global leader in on- and offshore foundation installation equipment, with a specialization in producing pile hammers. From smaller hammers for residential construction to the world’s largest hammers for offshore wind projects. They serve three main markets: civil construction, oil and gas (oil platform foundations) and offshore wind foundations for offshore wind turbines.

In an interview with LeanForms, IQIP shares insights into their journey of digital transformation and the role LeanForms plays in streamlining their inspection and reporting processes.

Challenges in a growing international market

IQIP has experienced strong international growth in recent years, significantly increasing their rental fleet and parts complexity. With locations worldwide and various types of equipment, the need for streamlined and error-free procedures arose. During the constant cycle of rental and return of equipment, a cumbersome process of paper documentation, scans and emails was created.
While the system was previously adequate when the company was smaller, it was now proving inadequate, not expandable and prone to error.

Transforming with LeanForms

IQIP discovered LeanForms as a potential answer to their challenges. LeanForms offered the opportunity to digitize processes while reducing error proneness.

LeanForms has helped not only eliminate errors, but also improve the quality and clarity of inspection reports. The system uses pictures that are easy to add and forces users to follow up on concrete actions and draw conclusions. After implementing LeanForms, employees were positively surprised by the user-friendliness of the system. Even those who were not used to working with iPads embraced the digital forms with enthusiasm.

“We expected some challenges, but everyone was enthusiastic right away. Even employees who I thought would find it difficult came to me asking to digitize more forms.”

Valuable features

In addition to features of LeanForms such as adding photos and routes to forms, IQIP emphasizes the value of the question mark feature. Adding photos to technical questions simplifies communication and saves time.

“When employees click on the question mark next to a technical question, a picture is displayed. We have very many types of equipment and such a visual reference of a specific part then helps tremendously. Actually a very simple solution, but it saves a lot of search time and makes it possible for more people to perform checks.”

The fact that all the data is centralized is also a major advantage for IQIP. Revision management is more centralized and there is one database that everyone can draw from.

With noticeable benefits such as error reduction, clear reporting and ease of use, LeanForms looks forward to a positive and continued future collaboration with IQIP in their global operations.

“Before LeanForms, we had situations that were cluttered and prone to errors. Now, with mandatory pictures and clear conclusions in LeanForms, communication and decision-making have improved significantly.”
