Preparing for inspection

In this step, the inspection form is carefully prepared by the office team according to the LeanForms methodology. The goal is to enable an error-free, streamlined inspection from the outset, with all required information available digitally, up to date and complete to the performing employee.

Conducting the inspection

In this step, the designated employee performs the inspection on site, using the digitally prepared inspection form. Thanks to the LeanForms approach, the performer has immediate access to all relevant data, instructions and context recorded during preparation. This ensures efficient, structured and error-free execution.

Checking inspection

Once the inspection is performed and the form submitted, it automatically reaches the project management or a designated inspector. In this step, the inspection report is carefully reviewed for completeness, correctness and any discrepancies. Thanks to the digital LeanForms workflow, this is done entirely within one streamlined environment, with no paper intermediate steps or separate files.

Inspection performed correctly?

After checking the inspection report, an important selection moment in the workflow follows: was the inspection carried out correctly, completely and in accordance with the set requirements? This assessment is done on the basis of the content of the form, supplied evidence (such as photos and documents) and any comments made by the executor.

Analyzing the inspection

Once the inspection is completed and formally approved, the form is automatically made available for further analysis. Within the LeanForms approach, this means that the data, along with other completed inspections and flows directly into linked reports and dashboards, such as Power BI.

Back into the route

In the interactive workflow, when the selection item “Inspection performed correctly?” indicates that the inspection should be returned, information is automatically returned to the perform inspection step. At the same time, a self-created, interactive e-mail is sent to the stakeholders of this inspection.
By returning the digital form through this route, any changes are immediately processed and updated in the system. This provides a more efficient process and guarantees always up-to-date data during the inspection.

Agreed and through!

When Yes is selected in the interactive workflow at the selection item “Inspection performed correctly?”, the inspection is considered completed and can immediately proceed to the next step in the route.
In this step, stakeholders automatically receive an interactive email with the relevant information about the completed inspection and the continuation of the process. This ensures a smooth handover and keeps all stakeholders well informed.
