Van den Born builds and equips light commercial vehicles for a variety of clients, from installers to government organizations such as the Department of Public Works and the Environmental and Transport Inspectorate.
Vehicles arrive daily that must be checked and registered before entering production. Previously, this was done largely manually. Data such as chassis numbers, license plates and accessories were noted on paper and then re-entered into the ERP system.
This created duplicate entry, potential for errors in copying data and delays between departments

Solution: one digital workflow from entry to processing
With LeanForms, Van den Born fully digitized this process and set it up as one continuous workflow.
- Digital intake in the workplace
Upon entry, an employee immediately starts a form on a tablet. Depending on the type of vehicle, he is automatically presented with the appropriate questions. Thus, step by step all relevant information is recorded, without forgetting anything.
- Instant damage capture with photos
If damage is found, it can be recorded immediately including photos. Based on this, a notification is automatically sent to the sales department, a document is generated for the dealer and there is immediate proof of condition upon arrival
- Automatic follow-up in the process
Upon completion of the form, the sales department immediately receives the data, the vehicle is processed in the ERP system and the key number is fed back to the shop floor
Everything runs within one flow, without separate transfers or manual communication.
Result: faster work with fewer errors and more overview
The impact of LeanForms is primarily in its daily use.
Because data is entered directly and once, the risk of errors has been significantly reduced. The team also works faster because duplicate entries are eliminated, forms no longer circulate and emails and documents are generated automatically.
Every step is recorded and automatically linked to a follow-up action. This provides more overview and less coordination between departments.
Broad commitment within the organization
What began with vehicle registration is now being applied more broadly.
LeanForms are also used for, among other things, FAFS checks (such as checking fire extinguishers), vehicle installation inspections including automatically generated certificates, customer satisfaction surveys and internal records.
For the future, Van den Born sees opportunities in further automation, for example via a link to the ERP system.
