Egga Food processes eggs and egg products for the retail, foodservice, and food-processing industries. Its three production facilities produce, among other things, fresh, hard-boiled, peeled, and dyed eggs.

In this environment, quality, food safety, certifications, and documentation play an important role. To maintain control over quality processes, audits, and document management, Egga Food uses LeanForms and LeanBMS. These tools enable the centralized management and integration of documents, forms, records, and actions.

The challenge

Egga Food operates across various product groups, locations, and certifications. Although many processes are similar, additional requirements may apply at certain locations. At the same time, employees regularly move between locations, which makes a uniform approach to work important.

Previously, many records were kept in Excel files and on paper forms. In addition, quality documents, supplier evaluations, and audits were managed in different locations.

“Excel didn’t give us enough control. Anyone could make changes, and it was hard to keep track of everything.”

Follow-up on tasks was also handled largely via email. As a result, it was difficult to keep track of pending tasks, and there was no centralized monitoring of progress.

The result

According to Egga Food, the biggest difference from the old way of working is the increased oversight and improved visibility. Tasks are now recorded centrally and automatically tracked. Employees receive reminders, and pending tasks are immediately visible.

“We used to send an email and had to keep track of whether we’d received a response. Now we have a task overview and automatic reminders. That gives us much more control.”

Forms can also be used by multiple departments, with information being restricted at each step. This ensures that recorded information remains reliable and verifiable.

Another important benefit is the ability to identify missing documentation.

“In the past, we sometimes didn’t realize that certain documentation was missing until during an audit. Now we can see right away where something is missing and resolve the issue in advance.”

As a result, Egga Food has more complete files, and missing documentation is identified sooner, even before an audit takes place.

In addition, reports provide greater insight into supplier evaluations, analyses, and quality records. Whereas previously much of the information had to be checked manually, key indicators are now visible more quickly.

Ready for further growth

Egga Food continues to expand LeanForms and LeanBMS. New forms, workflows, and integrations are constantly being added to further digitize and support quality processes.

According to the quality team, the platform’s strength lies primarily in its flexibility.
