A risk assessment of a confined space involves gathering a great deal of information. What conditions does the expert encounter on site? Is the space accessible and clearly marked? And is there a rescue plan in place? Eurosafe uses LeanForms to digitally and systematically record this information during the assessment.

This is how Eurosafe conducts risk assessments for confined spaces

At Eurosafe, a risk assessment begins even before the site visit. Known information about the client and the facility is pre-filled into the forms. This allows the expert to focus on the assessment itself once on site.

During the visit, the expert records information about the confined space. Hans, for example, notes the accessibility and signage of the space and whether a rescue plan is in place. The findings then form the basis for the report, the recommendations, and any follow-up steps, such as developing a rescue plan.

Less rework after the site visit

Hans wants the expert’s expertise to be documented as much as possible during the assessment. Otherwise, there will be a time lag between the on-site assessment, the compilation of a report, and its submission to the client. He believes that information can be lost during that interim period.

Eurosafe is therefore working on forms where the information entered can be used directly as the final product as much as possible. Hans describes this as the point at which an expert has completed the assessment once the form has been filled out. The procedures for confined spaces are still being further developed. It is therefore a goal, not a result that has already been achieved for every assessment.

The benefit that Hans sees most clearly right now is consistency. Targeted questions and predefined answer options help experts record information in a consistent manner.

Efficiency is also important to Hans, but it depends on how the process is structured in the forms. If information has to be rechecked or reworked later on, some of those gains are lost.

Eurosafe uses LeanForms, in addition to its risk assessments, for various internal records, including accident reports, workplace inspections, complaint reports, and surveys.

Accident reports are also used within the organization. A summary of these reports is routinely included on the management team’s agenda. The reports are also discussed during monthly meetings and toolbox sessions.

Recording Safety Information in Practice

For Eurosafe, the further development of the forms revolves around a practical question: how do you document an expert’s knowledge in a way that makes the information usable for the next step? When conducting an assessment of confined spaces, this means: preparing data in advance, recording findings on-site in a structured manner, and using that information for reporting and advising.
