Optimization of Quality Management

Fluortubing started with a standard quality system that wasn’t fully customizable, which meant the company had to adapt to the system. This hindered flexibility and didn’t meet their needs. LeanForms offered a solution that was simple and customizable. Employees could effortlessly fill out forms and add information, and the ISO standard could be maintained without unnecessary complexity.

Digitization of ISO processes as a starting point

Fluortubing migrated all the forms from its former quality system to LeanForms to ensure compliance with ISO standards, and then used this as a starting point to continue digitizing various information flows. LeanForms enabled them to gradually digitize more processes.

Creating Forms on Your Own

Fluortubing sees the ability to build forms and dashboards independently as a major advantage of LeanForms. It sets itself apart from more complex systems, such as SAP, by enabling significant progress with minimal consulting efforts. This not only improved efficiency at the Dutch factory but also led to the expansion of LeanForms to their factory in the United States.

International Implementation

In the United States, all quality-related processes were digitized, resulting in a successful ISO audit. LeanForms’ flexibility was a major advantage, as the system could be easily adapted to different cultures and languages, which also facilitated the certification process.

Efficiency and Structure in Processes

LeanForms is widely used at Fluortubing. For example, the time-consuming and error-prone handoff process between shifts was streamlined by replacing emails with smart digital forms. This not only saved time but also improved the flow of information between colleagues. Previously, there were spelling errors, inconsistent layouts, and people were sometimes left out of the email exchanges. Now the process is structured, ensuring that information reaches the various colleagues much more effectively.

A comprehensive form was implemented to document quality deviations. This form describes the deviations as well as the analyses and solutions for them.

The form includes sample calculations and is linked to databases. For example, users can view the costs per deviation in a dashboard.

Multifunctional Applications

When complaints are reported, photos are integrated into the forms. This visual approach makes it easy for everyone involved to understand and resolve complaints. Another feature Fluortubing uses is the ability to use questionnaires in both Dutch and English, which makes communication with English-speaking customers much easier.

Links

At Fluortubing, various forms are linked to one another. For example, the deviation report is linked to the transfer form. This provides a complete overview and makes it easier to identify connections.

They will also soon be integrating a new version of their ERP system with LeanForms. This integration will make it possible to combine data into a single database, which is expected to significantly improve efficiency.
